Seatti vs Flexopus: Price per user or price per desk?
Flexopus is a workplace booking tool from Flexopus GmbH in Stuttgart, by its own account in use in more than 4,000 offices and run on dedicated servers at Hetzner in Germany. The two providers bill differently, so their prices are not directly comparable. This page lays the calculation open.
As of 6 October 2026. All information about Flexopus comes from publicly accessible sources listed at the end of this page. Details may change.
Summary
Flexopus bills per bookable resource and leaves the number of users open. Seatti bills per user. Which model is cheaper depends solely on your desk sharing ratio.
Seatti fits when space analytics is the actual goal, when presence should be evidenced at the individual desk and not only at building and floor level, and when Entra sync is already needed at the entry level.
Flexopus fits when many employees share few desks, because then billing per resource lowers the cost considerably, and when a German host without hyperscalers and a German certifier are required in procurement.
Comparison table
All information comes from the providers' websites, retrieved on 6 October 2026. Where a detail could not be found publicly, this is stated explicitly. It does not mean the feature is missing.
Criterion | Seatti | Flexopus |
|---|---|---|
Billing unit | Per user per month | Per bookable resource per month, number of users unlimited according to the provider |
Entry list price | Workspace Management from €1.90, Office Intelligence from €1.00, billed annually, no implementation costs | Starter €1.59, Business €2.99, Enterprise individual, each plus a platform fee whose amount is not published, and plus 19 percent VAT |
Microsoft Teams and Outlook | Native in Teams, bookings land in the Outlook calendar | Teams app from Starter, plus Exchange Online and an Outlook add-in for room booking and catering |
Entra ID and SCIM | Entra ID sync in the product, users and groups automatically | Azure AD single sign-on, SAML2 and SCIM from the Business plan according to the plan overview |
Hosting | Data processing and hosting in the EU | Dedicated servers at Hetzner in Falkenstein, backup in Nuremberg, by its own account deliberately no hyperscaler |
Certification | ISO 27001, certified by PROKS Certification, data processing agreement under Art. 28 GDPR | ISO 27001 under the 2022 standard, certified by TÜV Rheinland, according to the provider since 22 December 2023 |
Encryption | TLS 1.2 and AES 256 according to its own documentation | According to its own help page, sessions are encrypted with AES 256 and backups are encrypted, data at rest is described there as currently not encrypted. Have the provider confirm before deciding |
Utilisation measurement | Bookings, IP-based presence and Seatti Signals at the desk, plus AI chat. According to the pricing page, IP-based utilisation analytics is assigned to the Enterprise plan | Smart Analytics, according to the provider strictly anonymous at building and floor level, optionally supplemented by sensors and IoT devices |
Multiple tenants | Multiple sites, legal entities and rule sets centrally, multi-tenant for groups | Multi-tenant support already in the Starter plan according to the plan overview |

Pricing compared
A price per user and a price per resource cannot be placed side by side. They become comparable only with a disclosed assumption about the desk sharing ratio.
Worked example: 250 employees, twelve months
Disclosed assumption: 250 licensed users at Seatti. For Flexopus 160 bookable resources, i.e. 125 desks at a desk sharing ratio of 0.5 as stated by the provider, plus 15 meeting rooms and 20 parking spaces. List prices without discount, for Flexopus without platform fee and without VAT.
250 times €1.90 times 12
250 times €2.90 times 12
160 times €1.59 times 12, plus platform fee and VAT
160 times €2.99 times 12, plus platform fee and VAT
Honestly assessed: at this sharing ratio, Flexopus in the Starter plan is clearly below Seatti. In the Business plan, where single sign-on and SCIM sit, the two offers move closer together before the platform fee and VAT are added. The more employees share a desk, the cheaper the per-resource model becomes. The more weight space analytics carries, the more it matters which data the system delivers. Calculate with your own ratio and ask for the platform fee.
Switching from Flexopus to Seatti
The rollout follows Seatti's standard process. Users and groups come in via Microsoft Entra ID, space structure and floor plans are taken over.
Day 1
Kick-off and installation
Clarify goals and responsibilities, set up Seatti in the Microsoft environment, define access.
Week 1
Spaces and Entra sync
Take over floor plans and resource structure, synchronise users and groups, train admins.
Week 2
Onboarding and go-live
Employees are onboarded in Teams, after which Seatti runs day to day. The legacy system stays readable until the cut-off date.
Afterwards
From floor to desk
Capture presence per desk and discuss the first space analysis with Real Estate.
The works council and data protection are involved early. Whether and in what form a works agreement is needed is decided by each company itself. This process is not legal advice.
Evidence from ongoing projects
Figures from the references published by Seatti. More than 100 companies use Seatti, according to its own information.

Who fits whom
Not every company is right for Seatti. This assessment is meant to shorten the decision, not to belittle the competitor.
Frequently asked questions
At a low desk sharing ratio, yes, because Flexopus charges for the resource and not the person. The calculation is complete only with three inputs: your actual ratio, the amount of the platform fee, which is not published on the pricing page, and the plan in which the features you need sit. According to the plan overview, single sign-on and SCIM sit at Flexopus from Business.
Both name ISO 27001 under the 2022 standard with a named certifier, Flexopus TÜV Rheinland, Seatti PROKS Certification. One difference lies in the encryption of data at rest: the Flexopus help page currently describes it as not encrypted, while sessions and backups are described as encrypted. Have both providers confirm this point in writing before IT approves.
That depends on the decision that hangs on it. For a rough occupancy overview, analytics per building or floor is enough. For the question of whether a floor can be given up, what counts is which desks were actually used. For that, Seatti combines bookings, IP-based presence and signals from existing hardware at the desk.
Yes. Space structure and floor plans are taken over during the rollout, historical booking data can be imported as an export. Users and groups come in via Microsoft Entra ID and do not need to be created again.
