If your company uses Microsoft 365 and has to back up space and cost decisions with real usage data, Seatti is the right fit: Workspace Management and Office Intelligence run in one system natively in Microsoft 365, which brings the operational booking level and the strategic data basis for space scenarios together. Anyone who has Yoffix on the shortlist or already uses it needs a clear comparison for this. Yoffix offers desk booking and, according to the vendor's pricing page, can be put together from modules such as rooms, parking spaces, visitors and resources.
For a compact side by side view with a short verdict and a worked example, see our comparison page Seatti vs Yoffix, and for an overview of further alternatives see Seatti compared.
Short verdict: when does Seatti fit, when does Yoffix fit?
The lease is expiring, Real Estate needs figures on actual office usage, and the question internally is: is Yoffix enough or do we need Seatti? The answer depends on company size, the level of governance and the depth of data required.
Seatti fits if:
- your company has 250 employees or more, uses Microsoft 365 and has to manage several locations centrally.
- besides desk booking, meeting rooms, parking spaces and services are also to be managed directly in Microsoft Teams and Outlook.
- Real Estate needs reliable usage data for space and cost scenarios, for example through Office Intelligence.
- IT wants to control roles and permissions at a granular level and synchronise users via Microsoft Entra Sync.
Yoffix can be the better fit if:
- your company has fewer than 250 employees and mainly wants to book desks.
- the main focus is on desk booking and modules such as rooms or parking are added as needed.
- modular pricing logic with a choice per feature package is the priority.
- meeting rooms and parking spaces are to be included in fixed quantities in the package.
Every day, decisions are made about space and operating costs, and a reliable basis of usage data is often missing. A booking tool answers the operational question of who sits where and when. On its own, it does not answer how much space a company actually needs. Whether it is a lease, a budget round or full floors: every space decision is only as good as the data behind it. Seatti combines Workspace Management and Office Intelligence natively in Microsoft 365 and shows how the office is really used. The need for reliable figures is undisputed. What remains open is when your company will use them for its decisions.
So how do you decide between Seatti and Yoffix in a structured way?
Selection criteria: Seatti vs Yoffix for companies with 250 employees or more
Choosing the right desk sharing software depends, among other things, on company size. IT, Real Estate, Facility Management and the works council each bring their own criteria. Anyone who selects a solution for the long term and has to support a business case needs a structured evaluation rather than a pure price comparison.
Key review areas for your selection:
- Microsoft integration (Teams, Outlook, Entra ID Sync)
- Space and usage data (bookings vs. actual attendance)
- Enterprise structures and governance
- Data protection, hosting, works council
- Pricing model and total cost
- Rollout effort and internal resources
The following comparison table sets out exactly these dimensions for Seatti and Yoffix.

Seatti and Yoffix prices at a glance
What matters is less the individual list price than the question of which data basis and which scope of services match your company's space and cost goals.
Seatti pricing
Seatti Workspace Management Essentials starts at €1.90 per user per month, Workspace Management Pro at €2.90 (annual billing). Office Intelligence Essentials starts at €1.00, Office Intelligence Pro at €2.00 per user per month. Enterprise plans are custom, and a bundle of both modules is available on request. There are no implementation costs. You can find all details clearly listed on the Seatti pricing page.
To place the plan boundaries: IP-based presence belongs to Intelligence Essentials, Seatti Signals to Intelligence Pro, full usage analysis and the connection of your own data sources to Intelligence Enterprise. Room booking, advanced booking rules, Outlook integration and compliance roles belong to Workspace Pro; API access and multi tenant administration to Workspace Enterprise. Visitor management is an add-on and is billed at a flat rate per location.
Yoffix pricing according to the vendor
According to the vendor's pricing page, the Business plan costs €1.50 per user per month, the Pro plan €2.00, and Enterprise is custom (as of 3 November 2026). The pricing page shows a toggle for annual and monthly billing as well as a selection by module and number of users. It is not clear from the page which setting the prices shown reflect. Check the vendor's pricing page for your specific configuration.
Additional costs according to the vendor: multi tenant feature €300 per setup, access control system integration €200 per office per month, custom HRIS, SCIM and other integrations €300 per setup, custom 3D floor plans from €50 per floor plan. SAML SSO and user sync (SCIM) are listed in the add-on block; the price is not stated.
According to the vendor, check-in rules and hot desking from 15 minutes belong to Business, prioritisation rules and custom roles and permissions to Pro. The Business plan includes three meeting rooms and five parking spaces; the Pro plan five rooms and ten parking spaces; the Enterprise plan ten rooms and twenty parking spaces.
And what about the list price?
Anyone who puts quotes side by side quickly ends up at the list price. But a licence price alone does not show what a system costs overall: what counts is the scope of services, additional costs, rollout effort and whether the data basis supports space decisions. So the question is not only “What does the licence cost?”, but also “What does it cost to make space decisions without reliable data?”
Yoffix alternative: switching to Seatti
When Yoffix is in use and the requirements of Real Estate, IT or management for governance, Microsoft 365 integration and data basis grow, a structured switch becomes relevant. More than 100 companies rely on Seatti. Real Estate, IT and office management can use the following checklist together.
Checklist: from Yoffix to Seatti
This checklist is relevant when a lease is expiring, a new hybrid policy is being introduced or several locations are to be consolidated.
- Schedule the kick-off: bring IT, Real Estate, office management and the works council to the table. Set the goal, timeframe and responsibilities.
- Request a data export from your current vendor: clarify which data (for example users, space structure, resources, booking history) can be exported, and agree scope and retention periods with the works council.
- Prepare Microsoft Entra Sync: structure roles, groups and locations in Entra ID so that automatic synchronisation runs smoothly.
- Configure offices and locations in Seatti and include meeting rooms and parking spaces.
- Define the role and permissions concept: set up access to reports for Real Estate, location admins and the works council.
- Test Workspace Management: check booking of desks, rooms, parking spaces and services directly in Microsoft Teams and Outlook.
- Set up Office Intelligence: combine bookings and IP-based presence and check whether the data basis is sufficient for your space scenarios.
- Plan user onboarding: provide communication, short guides and FAQs for employees.
- Set a cut-off date for switching off the previous system so that booking data remains consistent and no parallel operation arises.
- Evaluate after an initial usage phase: check with Real Estate and management whether the space assumptions are confirmed or corrected by the new data.
Check in advance which data can be exported from Yoffix and which retention periods have been agreed with the works council. Have changes to works agreements legally reviewed by your internal legal department.
Evidence from customer projects: what Seatti delivers in practice
Real Estate and management only decide on a platform switch once they see what is behind it. Two customer projects show how different the trigger can be and what happens when bookings and usage data come together.
bonprix: when the refurbishment is finished and the space stays empty
bonprix, the Otto Group fashion retailer with more than 1,000 employees on its Hamburg campus, redesigned its offices for hybrid work after the pandemic and found that good design alone does not bring anyone into the office. With Seatti, employees now book their desk directly in Microsoft Teams and can see in advance who will be on site on which day. The result in a twelve month comparison: more than 54,000 planned office days, almost twice as many as the year before, and 66% higher utilisation per desk than in the previous year. The usage data also gives bonprix a basis for decisions. At the request of employees and based on this data, an area planned as a quiet zone was completely redesigned. Space there is no longer planned on assumptions, but on what actually happens in the office.
Jebsen & Jessen: a move, desk sharing and one night to go live
At the Hamburg trading house Jebsen & Jessen, with around 500 employees, the lease for the old office was expiring. The move to the new headquarters was meant to be more than a change of address: the company wanted to introduce desk sharing while remaining open to further growth, without knowing how much space it would really need in future. That is why it opted for Seatti early on. Employees book their desks in Microsoft Teams and Outlook, and the utilisation data helps with design decisions, for example whether a traditional office room stays or becomes an open sofa corner. How quickly this can be set up was shown by water damage in the old office: Seatti went live overnight, and the very next morning everyone could book their desks digitally.
The figures also hold up in larger structures: at Sartorius, with 14,000 employees, more than 200,000 office days have been run through Seatti since 2021, and IKB saved 34% on office costs. You can find further examples among our customer stories.
Buying committee: Seatti vs Yoffix from the perspective of IT, the works council and Real Estate
Each role in the buying committee puts different criteria first. IT evaluates integration and security, the works council checks data protection and co-determination, and Real Estate needs a reliable data basis for cost scenarios. Management decides on the basis of these three perspectives.
IT: Microsoft 365, security and operations
IT bears responsibility for technical integration and security and evaluates long term operating costs. Integration with existing tools such as Microsoft Teams is decisive, and hybrid work requires central management of several locations. Seatti runs natively in Microsoft Teams and Outlook, and Microsoft Entra Sync automates the synchronisation of users and groups and reduces duplicate data maintenance. Hosting and data processing are in the EU, complemented by ISO 27001, encryption with TLS 1.2 and AES 256 and a data processing agreement under Art. 28 GDPR. The Open API can connect access control systems, HRIS and other office systems.
Review questions on Yoffix for IT:
- Which HRIS and identity integrations are included in the chosen Yoffix module, and which are paid add-ons? According to the vendor, custom HRIS, SCIM and other integrations cost €300 per setup.
- How exactly are SAML SSO and user sync (SCIM) licensed and operated? According to the vendor, the price is currently not stated.
- What does the data flow look like for Wi-Fi check-in and access control integration, and which systems are involved?
Works council: data protection, transparency and co-determination
Works councils pay attention to purpose limitation, transparency and the exclusion of performance and behaviour monitoring. GDPR compliance is an essential criterion, and for many works councils it also matters that data is hosted in the EU. Seatti offers anonymous bookings and analyses on an aggregated basis without conclusions about individual people. There is no live monitoring, no geolocation and no working time recording, and specifying the work location is optional. We recommend having a works agreement on data types, retention period and reporting legally reviewed.
Review questions on Yoffix:
- How exactly does the “anonymous mode” work, and which data is still visible? The vendor cites GDPR, hosting in Germany and ISO 27001:2022.
- How are access logs and attendance data stored and used in analyses?
- What documentation does Yoffix provide for works councils (for example a data flow diagram, FAQ)?
Real Estate and Facility Management: space, usage and costs
Real Estate needs reliable figures on planned and actual usage to justify leases, space consolidation and refurbishments. Seatti combines bookings with IP-based presence analysis: IP-based presence detects attendance automatically via the existing network infrastructure, without an additional check-in. This makes occupancy, trends and savings potential visible across locations. On plan assignment: IP-based presence is included in Intelligence Essentials, Seatti Signals in Intelligence Pro, and full usage analysis and the connection of your own data sources in Intelligence Enterprise.
Review questions on Yoffix:
- Which reports on the utilisation of desks, rooms and zones are available in Business and Pro, and which only in the Enterprise plan?
- How do booking data and actual occupancy differ in the Yoffix analyses (for example through Wi-Fi check-in)?
- Is this data enough to make a space reduction case to management?

Frequently asked questions
Seatti is built for companies with 250 employees or more using Microsoft 365, several locations and desk sharing models. Workspace Management and Office Intelligence run in one system natively in Microsoft Teams and Outlook and provide the data basis for space decisions. Desk booking enables central management of several locations. Yoffix can be a suitable choice for smaller organisations without enterprise requirements that mainly want to book desks and choose modules as needed. Compare your situation with the selection criteria above.
Seatti Workspace Management starts at €1.90 per user per month, Office Intelligence at €1.00. According to the vendor's pricing page, Yoffix Business costs €1.50 per user per month and Pro €2.00 (as of 3 November 2026). These prices are not directly comparable because of differences in module scope, included rooms and parking spaces, and add-ons. Look at the total cost, including space savings and administrative effort. All details are on the Seatti pricing page.
For your project team the effort remains manageable: after the kick-off and technical installation on the first day, the first week focuses on admin training and office configuration. The second week is for user onboarding and go live, which means Seatti is usually up and running in less than two weeks. With your current vendor, you should check data export options and notice periods directly. We have no information on the rollout duration for Yoffix, so ask the vendor.
The works council and data protection officers should be involved early in selection and rollout design. The works council checks purpose limitation and the anonymisation of booking data. Seatti offers anonymous bookings, aggregated analyses, no live monitoring, ISO 27001, a data processing agreement under Art. 28 GDPR and GDPR compliant EU hosting. Seatti is built to make co-determination easier. Works agreements should always be legally reviewed; this article does not replace legal advice. With Yoffix, clarify how the “anonymous mode”, access logs and retention periods are implemented in practice. According to the vendor, custom roles and permissions belong to the Pro plan.
Seatti is built for enterprise structures, but can also be relevant for smaller organisations with complex locations when pressure on space and costs is high. If the focus is mainly on booking desks and modules can be put together as needed, Yoffix may be the better fit. Flexible working and desk sharing require clear team guidelines. Weigh the need for Office Intelligence and Microsoft 365 integration against the scope of features you need and your governance requirements.
