Two employees talking at a wooden table with a laptop, with a colleague on a laptop and a whiteboard wall in the background

Seatti suits companies with around 250 employees or more using Microsoft 365 that need booking and measured usage for space decisions in one system. Flexopus can be the better fit if the focus is on booking and a resource based pricing model.

In the budget round, the question is now on the table: what does a desk cost, and how much office space does the company actually need? Real Estate has to deliver reliable figures, not estimates. When the lease is expiring or management is reviewing operating costs, booking figures alone are rarely enough as a basis for decisions.

This comparison of Seatti vs Flexopus focuses on two points above all: the cost logic (billing per resource versus per user) and the data basis each vendor provides for space decisions.

For a compact side by side view with a short verdict and a worked example, see our comparison page Seatti vs Flexopus, and for an overview of further alternatives see Seatti compared.

Short verdict: when does Seatti fit, when does Flexopus?

Seatti suits companies with around 250 employees or more using Microsoft 365, several locations and enterprise structures that need Workspace Management and Office Intelligence in one system. The solution runs natively in Microsoft Teams and Outlook, combines bookings with IP-based presence and existing infrastructure, and so delivers a realistic picture of usage. This picture serves as the basis when Real Estate and management decide on space and operating costs.

Flexopus can, according to the vendor, be the better fit when the focus is on a smaller organisation or a small number of resources, when implementation is to take place via self service with a 30 day free demo, when hosting exclusively in Germany without hyperscalers is required, or when billing is to be per resource rather than per user. Both billing models lead to different calculations in the budget process; neither is cheaper across the board.

Seatti vs Flexopus at a glance: desk booking software compared

Pressure on space and costs drives the choice of a desk booking tool. The following table compares key criteria: integration with Microsoft 365, data basis, rollout, pricing model, hosting and certification, and works council suitability. All information is based on publicly available data. Missing information does not mean that features are missing.

The table shows that the two vendors differ in their billing logic and in the depth of their usage data. Anyone who wants to compare prices per resource with prices per user needs their own desk sharing ratio and a total calculation of licence, add-on modules and the value of the data basis. The next section breaks down the pricing models in detail.

‍

‍

Pricing models: per resource vs. per user

Budget planning requires concrete calculation logic. Real Estate and Finance need not only list prices but a total calculation that reflects licence costs, add-on modules, rollout effort and the value of the data gained. The decisive difference: Flexopus bills per resource, Seatti per user.

Flexopus pricing according to the vendor (as of 3 November 2026)

According to the vendor, Flexopus bills per resource per month. Every desk, room or parking space on an active floor plan counts as a resource, even if the resource is blocked. The number of users is unlimited. You should still check which features are included in which package: according to the vendor, the check-in module, statistics and SSO belong to the Business package.

With annual billing, the Starter plan costs €1.59 per resource per month and the Business plan €2.99 per resource per month, each plus a €100 platform fee per year and with no setup fee (vendor pricing page, as of 3 November 2026). With monthly billing, the Starter plan costs €1.99 and the Business plan €3.49 per resource per month, plus a one off €10 setup fee and a €10 platform fee per month, each plus statutory VAT. According to the vendor, the Enterprise plan is available on request from 50 resources with a volume discount, and a 30 day free demo without a credit card is offered.

Additional costs apply for premium floor plans (€250 one off per 50 resources), HRIS integration (€50 per month) and visitor management (€100 per building per month, according to the vendor, as of 3 November 2026).

Seatti's pricing model in brief

Seatti licenses per user per month, not per resource, and separates two modules. Workspace Management is the layer for everyday office life: employees book desks, meeting rooms, parking spaces and services in Teams and Outlook. Office Intelligence relates bookings, IP-based presence and existing infrastructure to one another and shows occupancy, trends and savings potential. IP-based presence belongs to Intelligence Essentials, Seatti Signals to Intelligence Pro and full usage analysis including the connection of your own data sources to Intelligence Enterprise. Room booking, advanced booking rules and Outlook integration are part of Workspace Pro; API access and multi tenant administration belong to Workspace Enterprise. List prices with annual billing, each per user per month: Workspace Essentials from €1.90, Workspace Pro from €2.90, Intelligence Essentials from €1.00 and Intelligence Pro from €2.00. The Enterprise tiers of both modules are custom. Visitor management is an add-on and is billed at a flat rate per location. Both modules can be combined in a bundle, and you receive the price for it in a quote. There are no implementation costs. You can find all plans and prices on the pricing page.

Budget objection: “Per resource is surely cheaper with desk sharing”

At first glance, billing per resource looks cheaper in a desk sharing environment, because a company licenses fewer desks than employees. But this calculation does not reflect the total cost. According to the vendor's pricing page, add-on modules such as HRIS integration, visitor management or premium floor plans come on top of resource based billing, and at Seatti, too, visitor management is an add-on. The question of how heavily the licensed resources are actually used in everyday work remains open if the data basis relies on bookings alone.

At Seatti, more users than physical desks are licensed. In return, Real Estate gets booking and usage data from one system, with Office Intelligence licensed as a separate module with its own tiers. Which calculation works out better in the end depends on the number of resources, the number of hybrid employees, the required level of detail in the analyses and the value that reliable usage data has in the next budget round.

Flexopus alternative: from Flexopus to Seatti

A switch from Flexopus to Seatti becomes relevant when there is a concrete reason: end of a lease, space consolidation, cost pressure or a new hybrid policy. This section describes the steps on the Seatti side and provides neutral review points without assessing the switching effort with the current vendor.

Before the switch

Before a switch, the goals should be clear: which space decisions are coming up in the next few months? What data do Real Estate and management need for them, for example utilisation per location, floor, area or desk? The answers to these questions determine which plan and which modules are needed.

Check internally: how many resources (desks, rooms, parking spaces) are currently in use? Hybrid work combines office and remote workplaces, hence the question: how many employees actually work in the hybrid model? Which reports are used today? What requirements are there for meeting room management, that is, the reservation of rooms and equipment? Software should also offer interactive floor plans for desk booking, so check how floor plans get into the new system. Clarify with your current vendor which booking and room data can be exported. In parallel, agree the broad data protection and integration requirements with IT and the works council, including Microsoft Teams, Entra ID and the Open API.

Rollout: usually less than two weeks

A Seatti rollout starts on day 1 with the kick-off and technical installation in Microsoft 365. Seatti runs natively in Teams and Outlook, so employees find the software where they work anyway.

In week 1, admin training and the configuration of the offices with locations, rooms, desks and parking spaces follow. Microsoft Entra Sync synchronises users and groups automatically, without duplicate data maintenance.

In week 2, user onboarding in Microsoft Teams and Outlook starts, communication to employees runs, and Seatti goes live. Plan a cut-off date for this on which the previous tool is replaced. An example from a customer project shows how quickly this can happen: Jebsen & Jessen, a company with around 500 employees, went live overnight after water damage.

After go live

After go live, Office Intelligence shows occupancy, trends and savings potential. To do this, Seatti combines bookings, IP-based presence and existing infrastructure into a realistic picture for Real Estate and management.

The analyses work with pseudonymised and aggregated data without conclusions about individual people, so that agreed rules can be checked. GDPR compliance is decisive for software in German speaking countries. Seatti is built to make co-determination easier.

Evidence and data basis: what are bookings enough for, and what not?

By the budget round at the latest, it becomes clear what is often missing: decisions on space and operating costs are made day by day, but the figures on actual usage are not available. Booking data clarifies who reserved a desk when. It does not clarify how much space is needed.

What bookings alone show

A pure booking system provides KPIs such as the number of bookings per day, utilisation in relation to booked resources and the booking behaviour of individual teams. Desk booking systems enable desks to be booked digitally, automated check-ins prevent desks being blocked unnecessarily, and dashboards can show attendance and utilisation by day.

However, bookings and actual attendance diverge: no-shows, spontaneous use without a booking and different lengths of stay distort the picture. With billing per resource, the question remains how heavily these resources are really used in everyday work. Many desk sharing systems offer analysis features on the use of office space, but the quality of these analyses depends on which data sources feed into them.

What makes a reliable basis of usage data

Seatti brings Workspace Management and Office Intelligence together in one system that runs natively in Microsoft 365. IP-based presence detects attendance automatically via the existing network infrastructure, without an additional check-in. Together with the bookings, this creates a picture of usage that makes occupancy, trends and savings potential visible.

This data helps Real Estate and management make concrete decisions: how much space do we need after the end of the lease? Which areas can be consolidated? Where are bottlenecks emerging? Especially before a budget round, it pays to get these answers from data rather than gut feeling.

Examples from practice: IKB, Sanofi and Sartorius

More than 100 companies rely on Seatti. Three examples from customer projects show how different the starting point can be: a lack of space, cost pressure and employees' concern that they will not find a desk in the end.

At Sartorius, a life science group with 14,000 employees, space was the bottleneck. The company grew faster than its offices, and on the Göttingen campus there were soon more employees than desks. Instead of building new space, Sartorius introduced desk sharing directly in Microsoft Teams in 2021, first in a single department and later across large parts of the campus and further locations. Since 2021, more than 200,000 office days have been planned there with Seatti, and today 1.6 people share every desk in use. The pseudonymised and aggregated analyses serve Sartorius as the basis for space decisions.

Cost is the issue at IKB. The bank introduced Seatti to book and manage the office and combined desk sharing with utilisation analysis. The result from this customer project: 34% saved on office costs. How much can be saved in your own company depends on the individual case.

At Sanofi in Berlin, on the other hand, acceptance was the priority. The company opened up its individual offices into an open space and embraced hybrid work, with Seatti as the first tool for this. Zones rather than individual desks were to be booked there. The employees' biggest concern: after the space reduction, too few desks might remain. After nine months it became clear that the feared shortage did not materialise and that the core office days shifted to Tuesday and Wednesday, while Fridays were much quieter. This very pattern is valuable for planning, because it shows how many desks are actually needed on which days.

All three examples come down to the same question that also decides the comparison between billing per resource and per user: how many desks does the company really need?

Which decisions are coming up for you? Lease renewal, space reduction, a move? What data are you missing for them today?

Buying committee: what IT, the works council and Real Estate should check

The decision between Seatti and Flexopus is rarely made by one person. IT, the works council and Real Estate are usually involved, and each function checks different criteria. The comparison thus quickly becomes the selection of suitable desk booking software along the different review criteria of those involved.

IT: integration, security and operations

Seatti runs natively in Microsoft Teams and Outlook, uses Microsoft Entra Sync to synchronise users and groups automatically, is hosted in the EU, GDPR compliant and ISO 27001 certified. According to the vendor, Flexopus hosts exclusively in Germany without hyperscalers, is ISO 27001:2022 certified and offers GDPR compliance with a data processing agreement (as of 3 November 2026). How do both solutions fit into your existing Microsoft 365 landscape? Which connections, such as HRIS or access control, are to be implemented via the Open API? Does synchronisation with Outlook prevent double bookings of meeting rooms? Also check whether an all in one solution is needed or whether individual tools are enough.

Works council: data protection and co-determination

Works councils should be involved early in the decision on a system that makes attendance visible. Seatti is built to make co-determination easier: pseudonymised and aggregated usage data, no live monitoring, no geolocation, no working time recording, anonymous booking possible, specifying the work location optional. According to the vendor, Flexopus offers anonymisation of bookings and statistics, privacy settings and user analysis that can be switched off (as of 3 November 2026). Clarify early, together with data protection and the works council, which data is needed and approved at which level of aggregation. This article does not replace legal advice; for works agreements we recommend a legal review.

Real Estate and Facility: space, costs, data needs and workplace management

Real Estate holds the budget and signs. The central question is: how much space do we need, and what does it cost? In the changed world of work, data based space decisions are therefore becoming a prerequisite for reliable planning. Through Office Intelligence, Seatti provides a realistic picture of space usage and thus answers to this question. IP-based presence is included in Intelligence Essentials, Seatti Signals in Intelligence Pro and full usage analysis in Intelligence Enterprise. According to the vendor, Flexopus offers statistics with heatmaps per floor and data exports in the Business package (as of 3 November 2026). Are statistics from bookings enough for you, or do you also need data on actual attendance, and how is each recorded? Which KPIs do you need before the next lease decision?

‍

‍

What you should gather before deciding

Before you decide between Seatti and Flexopus, you should clarify four basic data points: the number of your resources (desks, rooms, parking spaces), the number of employees who work hybrid and actively use Microsoft 365, the desired level of detail in the analyses and the requirements of your works council on data protection and co-determination. Prices per resource and per user are not directly comparable. Real Estate needs a total calculation of licence costs, add-on modules, rollout effort and the value of the data basis. Involve co-determination early so that data protection and the works agreement are properly clarified before the software goes live.

Frequently asked questions

Which Flexopus alternative suits companies with 250 employees or more using Microsoft 365?

Seatti suits companies with around 250 employees or more using Microsoft 365, several locations and enterprise structures that need Workspace Management and Office Intelligence in one system in Teams and Outlook. Seamless integration with Microsoft 365 can increase acceptance among employees. According to the vendor, Flexopus can be a good choice for smaller organisations or few resources, especially when resource based billing and hosting in Germany are required.

Billing per resource or per user: which figures do you need for a quote?

For a Flexopus quote, you need the number of all resources on active floor plans (desks, rooms, parking spaces), the desired package (Starter, Business, Enterprise) and your need for add-on modules such as premium floor plans, HRIS integration or visitor management (according to the vendor, as of 3 November 2026). For a Seatti quote, clarify the number of employees who actively use the office and Microsoft 365, the number of locations and entities, the modules required (Workspace and Intelligence plans) and special requirements such as visitor management or an API connection.

How do Seatti and Flexopus show actual office usage?

According to the vendor, Flexopus provides statistics and heatmaps as well as data exports in the Business package. According to the vendor, Flexopus records actual usage via IoT devices with motion and heat detection; the price of this hardware is not stated on the pricing page (as of 3 November 2026). Seatti combines Workspace Management bookings with IP-based presence and Office Intelligence analyses. Analyses show occupancy and trends in office space and make savings potential visible, without conclusions about individual people.

How much effort is it to switch from Flexopus to Seatti?

The effort consists of internal resources and the data exports available. On the Seatti side, the rollout looks like this: day 1 kick-off and technical installation, week 1 admin training and office configuration, week 2 user onboarding and go live. This usually takes less than two weeks, and there are no implementation costs (see pricing page). Hybrid work requires flexible booking processes for user acceptance, which is why Seatti runs where employees work anyway: in Microsoft Teams. Clarify with your current vendor which data can be exported, and coordinate the introduction with IT and the works council in parallel.

What applies to companies with fewer than 250 employees?

Smaller organisations with few resources have different priorities. Mid sized companies often need user friendly desk booking systems that are easy to use in order to achieve high user acceptance. According to the vendor, Flexopus can make sense for smaller organisations or a lower number of resources, especially when quick self service implementation with a 30 day demo and hosting exclusively in Germany are required. Seatti is designed for companies with around 250 employees or more and enterprise structures, and plays to its strengths where space decisions and complex hybrid setups are the priority.
