Seatti vs Robin at a glance: the answer depends above all on your company size and on the problem you want to solve. According to the vendor, Robin is a platform for companies with 500 employees or more and several locations; Seatti suits companies with 250 employees or more using Microsoft 365 that want to combine booking and measured usage in one system as the basis for space decisions.
For a compact side by side view with a short verdict and a worked example, see our comparison page Seatti vs Robin, and for an overview of further alternatives see Seatti compared.
Robin or Seatti: which solution fits when?
The typical reason for this comparison is concrete: a lease is expiring, management is asking for reliable figures on office utilisation, and Real Estate has to prove how much space the company actually needs. Anyone who puts Robin and its alternatives on the shortlist in this situation faces the question of how operational booking and strategic usage analysis can be combined.
Robin can, according to the vendor, be the better fit when a larger portfolio with several floors, offices or buildings is to be managed and the focus is on space management, visitor management and employee experience. The vendor names companies with 500 employees or more, of whom at least a third use the office regularly, as its target group. According to the vendor, Robin offers booking of desks, rooms, parking spaces and lockers, plus a map editor, scenario planning and move management as well as visitor management.
Seatti suits companies with 250 employees or more in the DACH region that already work with Microsoft 365 and want to bring desk booking, meeting room and parking booking as well as Office Intelligence together directly in Microsoft Teams and Outlook, because that is where employees work anyway. Several locations, entities and rule sets can be managed centrally, and roles and permissions controlled at a granular level. More than 100 companies rely on Seatti.
Both solutions support hybrid working models but set different priorities. According to the vendor, Robin covers space management, visitor management and workplace analytics in one platform. Seatti combines Workspace Management and Office Intelligence natively in Microsoft 365, creating the basis for realistic space decisions. Which solution fits better depends on company size, entry threshold and IT landscape. The following selection criteria and the table make the distinction transparent.
Which workplace management platform fits your company?
A platform for the office does not replace a single decision; it bundles several: who books where, how IT connects the system, and what data Real Estate and the works council see? Anyone evaluating a workplace management platform gets further with four top criteria that can be checked independently of the vendor.
An all in one solution sounds convenient, but it only brings benefits if it matches size, IT landscape and data needs. Excel lists or individual tools also have their place, as long as needs are small and nobody has to prove utilisation or space requirements.
Company size and location structure
Company size determines how much platform you need. A vendor designed for companies with several floors, offices or buildings and 500 employees or more sets different priorities from a solution for companies with 250 employees or more that mainly want to keep booking and utilisation under control.
So ask early: how many locations and entities are affected, and should rule sets, roles and permissions be maintained centrally or per location? The answer shows whether a comprehensive platform is needed or whether a leaner setup is enough.
Integration with Microsoft 365, Microsoft Teams and Entra ID
For companies using Microsoft 365, integration decides acceptance in everyday work. When employees book desks and rooms directly in Microsoft Teams, MS Teams for short, or in Outlook, where they work anyway, the implementation effort can fall and coordination within the team becomes easier.
Also check how users and groups get into the platform. A connection to Entra ID with single sign-on and automatic synchronisation avoids duplicate data maintenance, and SCIM 2.0 is a widely used standard for provisioning user accounts. Ask both vendors which plan includes these features.
Features: desk booking, room booking and parking
A look at the features clarifies whether the platform covers everyday office life. This includes desk booking, room booking and parking booking as well as visitor management, which is available as an add-on at Seatti. Note which features you need immediately and which only in a later expansion stage. Also check whether services and visitors run in the same platform or whether additional tools become necessary.
For desk sharing (or hot desking), what matters most is how easily employees can book a desk and how reliably the team can see who is in the office when.
With room booking and Outlook integration in particular, it pays to look at the plans: at Seatti, both belong to Workspace Pro. Compare for each vendor which features are included in the chosen package and which cost extra.
Pricing and total cost
Pricing often influences the decision but is rarely compared cleanly. Prices per user, per active user and per resource are not directly comparable. What matters is the total cost: licence, rollout, implementation effort and the data basis you get for space decisions. A starter plan can also be a sensible way in, but should be checked against the number of users and the scope of features.
So ask each vendor for a breakdown that contains all items, including hardware and add-on modules. The review questions in the following section on prices and pricing models will help you.
Seatti and Robin at a glance
The table focuses on the criteria that make the difference in practice. According to the vendor, all statements about Robin come from its pricing page, security page and Microsoft page, as of 3 November 2026.
| Criterion | Seatti | Robin |
|---|---|---|
| Teams integration | Native in Microsoft Teams and Outlook | According to the vendor: booking in Teams, Outlook add-in |
| Entra Sync | Microsoft Entra Sync for users, groups and access | According to the vendor: Entra ID single sign-on with sync of users and groups, SCIM 2.0 and SAML 2.0 |
| Hosting and certification | EU hosting, GDPR, ISO 27001, encryption with TLS 1.2 and AES 256 | According to the vendor: AWS, choice between US and EU data centre, SOC 2, ISO/IEC 27001, CSA STAR Level 1, GDPR |
| Works council suitability | Pseudonymised, aggregated usage data, no live monitoring, no geolocation, anonymous booking possible | Not determined (for review questions see the section on works council and data protection) |
| Usage analysis | Office Intelligence: bookings, IP-based presence and existing infrastructure | According to the vendor: workplace analytics with usage analysis, sync with access control and data exports; custom reports and AI assistant only with an optional add-on |
| Rollout duration | Usually less than two weeks | Not determined (we recommend asking the vendor) |
| Pricing model | Published list prices, transparent per user per month, see Seatti pricing | According to the vendor: prices on request, annual subscription only, hardware sold separately |
What do these differences mean in practice? For IT, the depth of the Microsoft 365 integration is decisive: a solution that runs natively in Teams and Outlook spares employees from switching apps and makes rollout easier. For Real Estate, the data basis counts: anyone who brings bookings and actual attendance together in one system can prepare space decisions reliably and better assess the difference between pure booking tools and a broader platform. And for budget planning, it makes a difference whether prices are publicly visible or only determined through a quote.
What prices and pricing models mean
A direct price comparison between Seatti and Robin is not possible, because Robin does not publish list prices. Nevertheless, pricing models are a central decision criterion for Real Estate and procurement, because they determine budget commitment, flexibility and predictability. In terms of pricing model, vendors differ above all in whether they bill per user, per active user or per resource.
Seatti: list prices and plans
Seatti publishes list prices per user per month, split across two modules. Workspace Management covers booking and coordinating desks, meeting rooms, parking spaces and services in Teams and Outlook. Office Intelligence brings bookings, IP-based presence and existing infrastructure together into a realistic picture of usage and shows occupancy, trends and savings potential.
The list prices at a glance, each a starting price per user per month with annual billing:
| Module | Plan | Price | Included (selection) |
|---|---|---|---|
| Workspace Management | Workspace Essentials | from €1.90 | Desk and parking booking, Microsoft Teams integration, GDPR compliant |
| Workspace Management | Workspace Pro | from €2.90 | Everything in Workspace Essentials, room booking and advanced booking rules, Outlook integration, compliance roles |
| Workspace Management | Workspace Enterprise | custom | Everything in Workspace Pro, multi tenant administration and guest access, API access and custom integrations |
| Office Intelligence | Intelligence Essentials | from €1.00 | IP-based presence and AI analytics |
| Office Intelligence | Intelligence Pro | from €2.00 | Everything in Intelligence Essentials, Seatti Signals with usage per area and desk |
| Office Intelligence | Intelligence Enterprise | custom | Everything in Intelligence Pro, full usage analysis and connection of your own data sources |
Visitor management is available as an add-on and is billed at a flat rate per location. Billing is annual and per user. Seatti charges no implementation costs: configuration, floor plans, training and support are included. You can find all details on the Seatti pricing page.
Both modules can be combined in the Office OS bundle. You choose the right plan for each module, for example Workspace Pro and Intelligence Essentials, and get both in one contract with one contact person and one rollout. Anyone who combines both modules benefits from a bundle advantage compared with the individual prices. You receive the specific price for your combination and number of users in an individual quote.
Robin: prices on request
According to the vendor, Robin does not publish list prices. Prices are requested individually, there are annual subscriptions only, and hardware is sold separately (vendor pricing page, as of 3 November 2026). For Real Estate and procurement this means that the total cost can only be quantified after a quotation process. Also check how the annual term fits your space planning, for example if space is to be reduced.
Review questions for procurement
Regardless of the vendor, you should ask the following review questions in procurement:
- How are active users defined and billed?
- Which modules are mandatory and which are optional?
- Are there minimum purchase quantities or minimum terms?
- Is there a starter plan or a trial phase, and what applies afterwards?
- Which services are included in the price (support, training, rollout) and what costs extra?
- How do later changes in space (space reduction, new locations) affect licence costs?
The information is based on publicly available data at the time of writing and may change.
Does the data basis support a space decision?
The objection: booking and access data are enough
The most common objection from Real Estate is: “Our booking data and access data are enough.” In practice, however, bookings only show intent, not actual usage. Access data records who entered the building, but not whether desks, zones or floors were then used. Making space and operating cost decisions on this basis is a risk that can be quantified directly in euros when leases expire or space reductions are planned.
How bookings become a picture of usage
Seatti solves this problem by having Office Intelligence combine bookings, IP-based presence and existing infrastructure into a realistic picture of usage. This makes occupancy, trends and savings potential visible without allowing conclusions about individual people. IP-based presence detects attendance automatically via the existing network infrastructure, without additional check-ins by employees.
The assignment to plans is clear: IP-based presence belongs to Intelligence Essentials, Seatti Signals to Intelligence Pro and full usage analysis to Intelligence Enterprise.
According to the vendor, Robin offers workplace analytics with usage analysis, sync with access control, data exports and the connection of sensors. According to the vendor, custom reports and an AI assistant for analyses are only available with an optional add-on.
Why space decisions need usage data
Every day, decisions are made in the office that affect space and operating costs, and a reliable basis of usage data is often missing. Anyone who only manages bookings with booking tools knows who reserved a desk when, but not how much space is actually needed. Seatti brings Workspace Management and Office Intelligence together in one system and makes the real space requirement visible.
An example from a customer project shows how a reliable data basis plays out in everyday work. Sartorius, a life science group from Göttingen with 14,000 employees, grew faster than its office space could be expanded and introduced desk sharing in 2021. On campus there were soon more employees than desks, and additional offices were not an option in the short term. So Sartorius reorganised its existing space: with desk sharing directly in Microsoft Teams, first in a single department, then step by step across large parts of the Göttingen campus and later at further locations such as Guxhagen, Ulm and Umeå.
The result can be quantified: since 2021, more than 200,000 office days have been planned with Seatti, today 1.6 people share every desk in use, and there are more than twice as many office days as in the first full year. What is particularly interesting for Real Estate is what Sartorius bases its decisions on: the pseudonymised and aggregated analyses serve as the basis for space decisions, without personal data being included. You can find further examples from practice among our customer stories.
For Real Estate this means: before you extend a lease or negotiate a space reduction, you need data that compares bookings with actual attendance. Seatti delivers this data through Office Intelligence in tiered plans. With Robin, it is advisable to ask specifically during the quotation process which analyses are included as standard and which come as an add-on.
From Robin to Seatti: checklist for switching
Companies that use Robin today, work with Microsoft 365 and are looking for Office Intelligence in the same system consider Seatti as an alternative. The following checklist describes the steps on the Seatti side and neutral review points.
1. Clarify the starting point
Check the term and notice period of your existing Robin contract. Document the scope of the features currently in use: desk booking, rooms, visitors, usage analyses and floor plans. Clarify internally which requirements exist for booking rules and approval processes and which separately purchased hardware is in use.
2. Secure your data
Request a data export from your current vendor: space structure, floor plans, zones, booking rules and usage data. Agree with IT in which format the exports should be provided.
3. Plan the Seatti rollout
Day 1: kick-off with IT, Real Estate and Workplace, plus the technical installation in the Microsoft 365 environment. Week 1: admin training and configuration of the offices; locations, spaces and zones are set up in Seatti. Week 2: user onboarding in Microsoft Teams and Outlook, communication to employees and go live. Because Seatti runs where employees work anyway, there is no additional app to switch to, and acceptance comes more easily.
4. Parallel operation and transition
Plan a parallel operation for a limited period in order to migrate users step by step. Define a test group of individual locations or areas to validate processes with Seatti before rolling out globally.
5. Fine tuning
After go live, evaluate the first usage reports from Office Intelligence together with Real Estate. Adjust zones and space allocation step by step based on the data. Hybrid work requires clear guidelines and coordination that can only be adjusted sensibly with real data.
What IT, the works council and Real Estate should check
Workspace Management and Office Intelligence are not isolated decisions. They affect IT, the works council and Real Estate equally, and each role has its own review criteria.
IT: integration, security, operations
For Seatti: Microsoft Entra Sync synchronises users, groups and access automatically, without duplicate data maintenance. Seatti runs natively in Microsoft Teams and Outlook and offers an Open API for connecting HRIS and access control systems. Also check how bookings and calendars work together.
According to the vendor, Robin offers Entra ID single sign-on, SCIM 2.0, SAML 2.0, booking in Teams and an Outlook add-in.
On security: Seatti is GDPR compliant, hosting and data processing take place in the EU, encryption uses TLS 1.2 and AES 256, and Seatti is ISO 27001 certified.
According to the vendor, Robin runs on AWS with a choice between US and EU data centres and cites SOC 2, ISO/IEC 27001, CSA STAR Level 1 and GDPR.
Review questions for IT:
- How are users and groups managed via Microsoft Entra ID in both systems?
- What data flows between the booking system, calendar and access control?
- How are check-ins handled, and do employees have to do anything extra for them?
- How are roles and permissions mapped for global, regional and local admins?
Works council and data protection
Attendance data often touches on the works council's right of co-determination.
Seatti is built to make co-determination easier: pseudonymised and aggregated usage data without conclusions about individual people, no live monitoring, no geolocation, no working time recording, anonymous booking possible, specifying the work location optional.
According to the vendor, Robin cites GDPR and the certifications mentioned. No public information could be found on its specific suitability for works councils.
Review questions for the works council and data protection:
- Which personal data is stored in which system and for how long?
- Are there options for anonymous booking and for deactivating individual analyses?
- Which reports are possible at individual level and how can they be restricted?
- How is it ensured that no hidden monitoring of performance or behaviour takes place?
Rules on this belong in a works agreement. This is not legal advice; we recommend a legal review.
Real Estate
Seatti brings Workspace Management and Office Intelligence together: booking and actual attendance mesh. With hot desking in particular, utilisation can hardly be estimated without data. Real Estate can use this to answer questions such as: which zones are permanently overloaded or empty? Where could space be reduced or relocated?
Two further examples from customer projects show the effect such data can have: IKB saved 34% on office costs, and bonprix records more than 54,000 office days in 12 months and 66% higher utilisation per desk.
According to the vendor, Robin offers space management with a map editor, scenario planning and move management as well as workplace analytics and data exports. According to the vendor, Real Estate can use this to model scenarios, which is particularly relevant for larger portfolios.
Review questions for Real Estate:
- Do you get an analysis in both systems that compares bookings with actual attendance?
- How easily can scenarios for space reduction, densification or location changes be derived from the data?
- Are the KPIs prepared so that they are understandable in budget rounds and board meetings without further preparation?
Your decision in three review questions
You have compared the features, pricing models and data basis of both platforms. Before you complete your assessment, three top review questions condense the decision:
- Is your priority a larger space portfolio from around 500 employees with a strong focus on scenario planning, or do you need a Microsoft 365 native solution from 250 employees with integrated Office Intelligence?
- How important is an all in one solution to you, in which booking, attendance measurement and usage analysis run in one system embedded directly in MS Teams and Outlook?
- What data basis do the board, management and works council require before they agree to a space reduction or a new location concept?
Would you like to see how Seatti runs in your Microsoft 365 environment? In a 30 minute walkthrough, we show how Seatti simplifies your office processes and puts your space decisions on a solid data basis.
