For the entry plans reviewed here, desk booking costs between around €1 and €3.50 per employee per month in an example with 250 employees, depending on the billing model, plan and scope of features. Very different units lie behind these figures: some vendors charge per user, others per active user or per resource such as a desk, room or parking space.

This comparison shows in concrete terms how vendor list prices can be broken down into “cost per employee per month”, which cost blocks belong in budget planning, how vendors including Seatti can be compared and which additional costs arise for implementation or hardware. This is particularly relevant for companies with hybrid working models that want to manage office space efficiently, introduce desk booking cost effectively and base space decisions on reliable usage data rather than estimates.

For a detailed vendor comparison with plan limits and additional costs, see our Desk Sharing Software Price Comparison 2026, and for how Seatti compares with seven alternatives, see Seatti compared.

You will learn which cost models occur in practice for desk booking software, how to compare prices properly and which model fits your space and usage logic.

What does desk booking software cost per employee per month?

For 250 employees, the entry plans of the vendors considered here range from about €1 to €3.50 per employee per month. The exact amount depends on whether a vendor charges per user, per active user or per resource, and how extensive features such as room booking, parking booking, analytics or integrations are in the respective plan. Desk booking software supports hybrid working models and hot desking, but flexibility in everyday use affects costs, because it determines how many desks and users are actually needed.

All prices given here are based on publicly available vendor list prices (vendor pricing pages, as of 15 October 2026). Individual discount agreements, volume tiers or bundles can change these values. At Seatti, the Workspace Management and Office Intelligence modules are licensed separately and can be combined depending on your goals, with a bundle advantage when combined. Specific bundle terms are calculated in the individual offer.

The following sections explain how comparable values per employee emerge from very different pricing models. An overview of licence models, units and additional costs helps to relate offers to your own working environment.

How do you convert prices per user, per active user and per resource into a cost per employee?

Vendors of desk booking software use different billing units. Procurement, however, needs a single comparison figure: cost per employee per month, regardless of whether the solution is used as a desk booking system or as a general booking system. User based billing means that the price rises with the number of licensed employees. With resource based billing, the number of bookable desks determines the cost.

The basic formula is: annual cost divided by the number of employees divided by 12 gives the cost per employee per month.

Per user

“Per user” means that every person with a user licence is charged, regardless of whether they make bookings regularly. This model makes costs predictable, because the number of licensed employees is known.

Per active user

“Per active user” means that only people who make a booking or log in within a defined period (e.g. monthly) are charged. The exact definition of when a user counts as “active” differs between vendors and should be clarified in writing. With this model, costs depend on actual usage.

Per resource

“Per resource” means that bookable desks, meeting rooms or parking spaces are licensed. The cost per resource has to be allocated across all employees using the desk sharing ratio. With desk sharing, employees share fewer desks than there are people and book as needed. Flexible booking systems can make empty desks visible. If you introduce desk sharing in different work areas, it is best to count resources separately for each area.

Flexopus sample calculation

A concrete example illustrates the conversion: Flexopus charges per resource. With 250 employees and 150 bookable desks (desk sharing ratio 0.6), the Starter plan comes to €238.50 per month, or €2,862 per year. That corresponds to around €0.95 per employee per month. In the Business plan it is €448.50 per month or €5,382 per year, about €1.79 per employee per month (source: vendor pricing page, as of 15 October 2026). These values relate to a specific constellation of space and employees and serve as a sample calculation.

Companies using Microsoft 365 should use the same formula for every offer variant in order to get a consistent baseline for the business case and space decisions. How the availability of free desks is shown in everyday use also matters, because it determines how well the calculated ratio matches actual usage.

Sample calculation for 250 employees: entry plans compared

The following table shows a simplified sample calculation for 250 employees over 12 months. It uses list prices of the entry plans according to the vendors' pricing pages. The plans differ greatly in scope, particularly in integrations, governance and analytics. The table serves as a “per employee” orientation and is not a direct quality comparison. Prices per user, per active user and per resource are not directly comparable.

Vendor and planBilling unitCost per employee per monthAnnual cost for 250 employees
desk.ly Corporateper userabout €1.65approx. €4,950
desk.ly Enterpriseper userabout €2.75approx. €8,250
deskbird Business (annual)per active userapprox. €2.75approx. €8,250
deskbird Business (monthly)per active userapprox. €3.50approx. €10,500
Flexopus Starter (150 resources, ratio 0.6)per resourceapprox. €0.95€2,862
Flexopus Business (150 resources, ratio 0.6)per resourceapprox. €1.79€5,382
Seatti Workspace Essentialsper userabout €1.90€5,700
Seatti Workspace Proper userabout €2.90€8,700
Seatti Intelligence Essentialsper userabout €1.00€3,000
Seatti Intelligence Proper userabout €2.00€6,000
Yoffix Businessper userapprox. €1.50approx. €4,500
Yoffix Proper userapprox. €2.00approx. €6,000

All values are based on list prices according to vendor pricing pages (as of 15 October 2026) and Seatti pricing. No discounts, individual offers or bundles are taken into account.

These values show that the cost per employee varies considerably depending on the vendor, plan and billing unit. At deskbird, for example, monthly billing costs more per user than annual billing. For a reliable budget discussion, the specific configuration, add-ons and contract terms always have to be taken into account. Advanced features such as analytics and integrations can increase costs compared with the entry plans shown here.

What comes on top of licence costs?

The licence price per user or resource is only part of the actual cost. Total cost of ownership over several years is the relevant figure for Real Estate, IT and procurement. Implementing desk booking software can involve one off setup fees, and ongoing effort should also be budgeted for.

Add-ons and advanced features. With some vendors, modular extensions are not included in the base plan. deskbird lists SAML, SCIM, HRIS integrations and extended privacy settings (user and data management), kiosk and catering features for meeting rooms and visitor management as add-ons without published prices (source: vendor pricing page, as of 15 October 2026). In Microsoft 365 environments, SSO and SCIM are an important criterion for governance and security for many IT departments. At Seatti, visitor management is also a separate add-on, billed as a flat fee per location (View Seatti pricing).

Implementation and professional services. Some vendors charge separately for rollout, project management and customisation. On its pricing page, Eptura Engage (formerly Condeco) lists professional services for implementation and check-in via badge data as chargeable items (source: vendor pricing page, as of 15 October 2026). Project budget beyond the licence should be planned here. At Seatti, there are usually no implementation costs. Configuration, floor plans, training and support are included.

Hardware. Sensor based or display based solutions require additional investment in kiosks, room displays, badges or sensors. Eptura Engage lists screens and kiosks as chargeable hardware options. These costs belong in budget planning and ROI calculations.

Integrations and identity management. Setting up single sign on, HRIS connection or calendar synchronisation creates internal IT effort and is licensed as an add-on by some vendors. Besides Microsoft 365, some solutions also support Google Workspace and Google Calendar as alternative work and calendar environments. Many solutions offer a connection to Microsoft Teams and Outlook. Check whether bookings can be made directly in MS Teams, whether they work via a smartphone app and which integrations are included as standard. Slack is also an option as a booking interface with some vendors. This anchors bookings in tools that are already in use, rather than making a separate portal mandatory. Seatti synchronises users, groups and access automatically via Microsoft Entra Sync and offers API access in Workspace Enterprise. This can reduce recurring manual maintenance.

Minimum terms and support. At Eptura Engage, the contract term is at least one year according to the pricing page; Seatti bills annually. At deskbird, monthly billing costs €3.50 instead of €2.75 with annual payment (as of 15 October 2026). Support levels, response times and admin training can affect your internal costs and project timelines, even if they are not always priced individually.

In every vendor enquiry, ask specifically about these additional costs and internal effort to avoid surprises in the second or third year.

‍

‍

How does the price change with company size?

With some vendors, volume discounts or enterprise plans apply from a certain size: Flexopus mentions volume discounts in the Enterprise plan from 50 resources, while deskbird, desk.ly, Yoffix and Seatti price their enterprise tiers individually. As a company grows, the focus can shift from pure desk booking towards Office Intelligence, reporting and more complex governance requirements for several locations and entities. At the same time, clear rules for booking times, zones or user groups can become more important.

Prices for Robin and Eptura Engage are not given on the pages reviewed (as of 15 October 2026) and have to be requested from the vendor for your own number of users. For larger solutions, IT teams should be involved early in selection, integration and operation.

Seatti list prices by company size

The following overview shows how the list prices of Seatti Workspace Management develop with the number of users (users × price × 12, annual billing, without volume discounts or bundle advantage; View Seatti pricing):

UsersWorkspace Essentials per yearWorkspace Pro per year
100€2,280€3,480
500€11,400€17,400
1,000€22,800€34,800

At Seatti, Office Intelligence is licensed as a separate module with its own prices. In combination with Workspace Management, bundle advantages are possible; the specific amount is set out in the individual offer.

Real Estate and IT can use this calculation to decide whether a pilot with a small user group or an early rollout to more users makes more economic sense. Analyses of actual usage can help to manage the rollout step by step.

‍

‍

Where does Seatti fit in the cost comparison?

Seatti combines two modules that can be used separately or together:Workspace Management covers the booking of desks, meeting rooms, parking spaces and services directly in Microsoft Teams and Outlook. Office Intelligence combines booking data and IP-based attendance into a realistic picture of usage and shows occupancy, trends and savings potential. Both modules are licensed per user per month, with annual billing. Combining them brings bundle advantages; specific bundle terms are calculated in the individual offer.

The rollout is predictable too: from technical installation to go-live usually takes less than two weeks. On the first day, Seatti is connected to Microsoft 365, admin training and office configuration follow in the first week, and user onboarding in the second. There are usually no implementation costs. Integration into Microsoft 365 via Microsoft Entra Sync and anchoring in Teams and Outlook can reduce training effort and make acceptance easier. For shared office days, Seatti offers team and group bookings.

Many companies lack reliable usage data when making decisions about space and operating costs. A booking tool supports models such as hot desking, but only shows who booked where, not how much space is actually needed. Seatti brings Workspace Management and Office Intelligence together in one system that runs natively in Microsoft 365 and provides the data needed to assess space requirements. The question remains how much longer space decisions should be made without this data basis.

How to calculate your budget

“Desk booking per employee” is not a fixed market price. It results from the licence model, scope of features, company size, number of resources and implementation effort. Even so, a reliable budget framework for your own organisation can be built in a few clear steps.

  1. Count employees and resources. Determine how many people should be allowed to book. Record your office resources: desks, meeting rooms, parking spaces and zones, as well as demand by type of work and planned office days. Define the desk sharing ratio. Employees can book desks flexibly as needed, but the ratio determines the price with resource based billing.
  2. Define the scope of features. Decide whether a pure desk booking tool is enough or whether Workspace Management for desks, rooms and parking spaces and Office Intelligence for space analysis are needed. A booking system should fit your hybrid working models and the different needs of your employees. Clarify which integrations with Microsoft Teams, Outlook, HR systems and access systems are mandatory. A real time availability check can show free and occupied desks. Check whether it is included in the plan you want.
  3. Convert offers into “cost per employee per month”. Calculate the annual cost for each offer and apply the formula: annual cost divided by employees divided by 12. Document the billing unit and scope of features in a comparison overview. Usage data can provide the data basis for the business case, and real time reports can support well founded decisions about working environments.
  4. Ask about additional costs. Ask specifically about add-ons, implementation, hardware, support levels, minimum term and integration effort. Clarify whether training, floor plan uploads and configuration are included in the price or charged separately. At Seatti, there are usually no implementation costs. Also plan internal effort for data protection and the works council.
  5. Calculate scenarios. Run through at least two variants: a pilot group versus a rollout to all relevant employees, each with a term of 1 to 3 years. Include not only licence costs in each scenario, but also internal project time, possible space savings and effects on operating costs. Analyses can help to identify and optimise usage patterns in the office. Also assess the efficiency of space use, not just licence costs.

Frequently asked questions

What does desk booking cost per employee?

For the entry plans considered here, the range for 250 employees is around €1 to €3.50 per employee per month. The exact price depends on the billing model (per user, per active user or per resource), the scope of features and the company size. Desk booking software enables flexible desk reservations, and the price reflects the respective scope of services.

What does desk booking software cost for 250 employees?

The sample calculation in this article shows annual costs of about €2,862 to around €10,500, depending on vendor, plan and billing unit. For 250 employees, this corresponds to costs of about €0.95 to approx. €3.50 per employee per month based on list prices. Individual discounts, bundles and enterprise contracts can change the actual costs.

What is the difference between billing per user and per resource?

“Per user” charges all employees with a licence, regardless of actual activity. “Per resource” licenses bookable desks, rooms or parking spaces. With resource models, the desk sharing ratio and the number of desks are the key factors for the price per employee. The conversion formula (annual cost divided by employees divided by 12) makes both models comparable.

Which additional costs come with desk booking software?

In addition to licence costs, the following may arise: add-ons for integrations, advanced analytics or visitor management; implementation costs and professional services; hardware such as displays or kiosks; internal effort for IT, data protection and training; support levels and contract terms; surcharges for monthly instead of annual billing. At Seatti, configuration, floor plans, training and support are included, and there are usually no implementation costs (according to the Seatti pricing page).

How do I calculate the cost for my company?

Use the formula: annual cost divided by the number of employees divided by 12. Pay attention to the billing model used and how the scope of features is defined. Real Estate, IT, HR and procurement should calculate scenarios together that also take potential effects on space and operating costs into account.
