Context: when Envoy or Condeco feel too slow or too cumbersome
Companies in the DACH region that want to replace Envoy or Condeco (now Eptura Engage), or introduce a workspace management system for the first time, are often under time pressure. Contract deadlines are running out, office usage is unclear and management expects reliable figures on space and operating costs. At the same time, Microsoft Teams is the everyday working tool for hybrid working models in many companies, so any new solution has to work seamlessly there.
This article compares five alternatives to Envoy and Eptura Engage that allow a fast start: Seatti, deskbird, desk.ly, Flexopus and Pult. Envoy and Eptura Engage serve as the reference point. The focus is on companies with around 250 employees or more in the DACH region using Microsoft 365.
For a direct comparison with a short verdict and a switching plan, see our comparison page Seatti vs Condeco and Envoy, the detailed side by side view in the article Seatti vs Eptura and Envoy and an overview of further alternatives under Seatti compared.
Your key takeaways from this article:
- Which criteria make a fast, low risk rollout from an IT and FM perspective.
- How Envoy and Eptura Engage position themselves on rollout.
- How Seatti, deskbird, desk.ly, Flexopus and Pult differ in target group, rollout claims and pricing model.
- Which questions you should put to vendors in the selection process.
- How to plan a pragmatic switch from Envoy or Eptura Engage to an alternative.
What really makes a fast rollout in workspace management
Hybrid working models are established in many organisations. The platform that handles desk booking, room and parking management therefore has to be productive quickly. A “fast rollout” means more than a technical installation. It covers configuration, training, integration with Microsoft 365, data protection approval by the works council and IT security, and contract flexibility that allows a pilot without a major project.
The target group of this article, IT, Facility Management and Corporate Real Estate, is under double pressure: the organisation expects a working system, and there is no budget for lengthy implementation projects. The following criteria help identify the vendors that are genuinely productive within a short time.
Implementation costs and effort
Implementation costs cover everything between contract signature and go live: technical configuration, creating floor plans, admin training and, where needed, professional services. Usage data for real estate decisions only arises once the platform is running. Without a solution that is up and running quickly, it does not arise at all.
Seatti charges no implementation costs. Technical configuration, conception, creating the floor plans, individual adjustments and training are included in the licence price (see Seatti pricing). Implementation usually takes less than two weeks: we start by installing the application together with your IT, then administrators are trained and the offices are set up, before employees are invited and the system goes live.
For Eptura Engage, professional services and hardware are listed as separate items according to the vendor's pricing page (as of 28 October 2026), including implementation, SCIM provisioning and the Microsoft 365 integration. The question for the vendor is therefore: which services are included in the Advanced and Power packages, and which are billed separately as professional services?
Recommendation: clarify implementation costs and internal project effort early and do not look only at the licence price.
Configuration, training and self service capability
Whether an organisation goes live in days or months depends largely on how configuration works. Self service in the admin portal shortens the duration; project configuration by the vendor can make sense for complex enterprise structures, but extends the timeline.
A typical admin training for mid sized environments covers: creating locations and floors, defining spaces and resources, assigning booking rules and roles, and configuring permissions and access rights. Cloud based solutions enable a fast rollout without hardware installation, because the entire configuration takes place in the browser.
Review questions for the vendor: can you create locations and floor plans yourself? How long does the standard admin training take? Is there on demand material or only live sessions? Which tasks are supported in self service or in assisted setup?
Integration with Microsoft 365: Teams, Outlook and Entra ID
Integration with Microsoft Teams and Outlook is decisive for user acceptance. When booking takes place directly in Teams, the need for training drops considerably. A successful integration reduces training needs and increases acceptance within the team. Seatti integrates deeply with Microsoft Teams: bookings are made directly within Teams, Outlook synchronises appointments, and Microsoft Entra Sync takes over users and groups automatically, without duplicate data maintenance.
Microsoft Entra ID (formerly Azure AD) is the central identity service in Microsoft 365. When a workspace management system synchronises users and groups automatically via Entra ID or SCIM, manual maintenance in a second directory is no longer needed. For IT this means less shadow IT, simpler SSO operation and lower operating costs thanks to central administration.
Minimum term, contract flexibility and trial options
Minimum terms influence the decision under time pressure; ideally, the price can already be estimated realistically without a long sales process. For Eptura Engage, the contract term is at least one year according to the vendor's pricing page (as of 28 October 2026). Free trials and pilot locations help you gain experience without a complex proof of concept project: Flexopus offers a 30 day demo plan without a credit card (vendor pricing page, as of 28 October 2026), desk.ly allows free use for up to 15 users with the full enterprise feature set (vendor pricing page, as of 28 October 2026), and Pult provides a free Starter plan for up to 20 users (vendor pricing page, as of 28 October 2026).
A sensible step: use test accounts to play through real office days and define a clear pilot project from them before rolling out across the board.
Overview: alternatives and tools to Envoy and Eptura Engage with a focus on fast rollout
Envoy and Eptura Engage are established products with a broad portfolio. For companies in the DACH region that use Microsoft 365, however, specific questions arise about integration, data protection and rollout speed. The following sections first describe Envoy and Eptura Engage as the reference point and then five alternatives.
Envoy as the reference point
Envoy offers Reservations (desks, meeting rooms, parking spaces) and Visitors as separate modules. The Reservations module costs 5 US dollars per bookable resource per month with annual billing, plus a platform fee whose amount is not published; before deciding, you should also clarify exactly which products the price and features refer to and which licensed scope is included in each case (vendor pricing page, as of 28 October 2026). Visitors Basic is free for up to 100 entries per month, Visitors Premium costs 362 US dollars per location per month (annual).
Envoy can suit companies using Microsoft 365 that have a strong need for visitor management and additional modules such as Deliveries or Screens. We were unable to find reliable information on hosting, certifications and EU data residency. A concrete statement on rollout duration is also missing. Review questions: where is the data of European users hosted? Which certifications are in place? How long does implementation take for companies with more than 250 employees?
Condeco (now Eptura Engage)
The platform covers desk and room booking, parking spaces and lockers, an Outlook add-in, Teams integration, user management with Azure AD, SCIM and Okta, an API and developer portal, analytics with Power BI and a mobile app. There are the Advanced and Power packages; Power adds, among other things, smart booking by voice command and a Teams app with conversational booking (vendor pricing page, as of 28 October 2026). Check-in using badge data can be booked at extra cost.
Prices are not published. The contract term is at least one year. Professional services (implementation, SCIM provisioning, Microsoft 365 integration) and hardware (displays, kiosks) are listed as separate items. According to the vendor, Eptura Engage is ISO 27001, CSA Star and FSQS certified, GDPR compliant and runs on Microsoft Azure; the hosting region is not stated.
Eptura Engage can be an option for companies that need a broad portfolio of modules (Asset Management, Eptura Workplace for space and move management, Visitor) and professional services. Review questions: in which Azure region is DACH data processed? Which services are included in the package, and which have to be bought in the project? What does a typical rollout timeline look like?
For visitor management, both vendors rely on their own product lines: Envoy with the Visitors module (Basic, Premium, Enterprise), Eptura with the Visitor product.
Seatti: fast rollout for Microsoft 365 companies with a focus on data
Seatti is a SaaS platform for hybrid work organisation. Workspace Management covers the booking of desks, meeting rooms, parking spaces and services directly in Teams and Outlook. Office Intelligence links bookings, IP-based presence and existing infrastructure into a realistic picture of usage with occupancy, trends and savings potential. Both run in one system.
In terms of timing, implementation is divided into three stages and usually takes less than two weeks: kick-off including technical installation, training of administrators with configuration of the offices, and finally user onboarding with go live. There are no additional implementation costs (see Seatti pricing).
Seatti is built for companies with 250 employees or more and enterprise structures. Several locations, entities and rule sets can be managed centrally; roles and permissions are controlled at a granular level. Microsoft Entra Sync takes over users and groups automatically. The Open API connects access control systems, HRIS and other office systems.
Data protection is of course also relevant to the rollout, because the works council and IT security need clear documentation from the start: Seatti is GDPR compliant, hosts and processes data in the EU, is ISO 27001 certified, uses TLS 1.2 and AES-256 encryption, and pseudonymises and aggregates usage data. There is no live monitoring, no geolocation and no working time recording. Anonymous booking is also possible, and specifying the work location is optional.
Seatti in practice: customer references and usage data for space decisions
Seatti brings Workspace Management and Office Intelligence together in one application that is at home in Microsoft 365, and shows how much space is really needed. The decisive question is therefore less whether usage data is needed than how much longer space will be planned without it.
Seatti's customer references span several industries, from retail and manufacturing through logistics and pharma to financial services and the public sector. Two references show what this looks like in practice: at bonprix, more than 54,000 office days were planned in 12 months, and occupancy per desk is 66% higher than in the previous year. Jebsen & Jessen went live overnight when the trading house moved (see all customer stories). More than 100 companies already rely on Seatti.
Seatti suits Microsoft 365 companies with 250 employees or more that want to roll out quickly and at the same time need a reliable data basis for space decisions. Seatti offers visitor management as part of workplace management (as an add-on, billed at a flat rate per location) and meeting room management as part of the SaaS platform.
deskbird: fast setup with native mobile apps
deskbird offers desk, meeting room and parking booking, native mobile apps, Teams integration and analytics. According to the vendor, most companies are ready to go within a few days (vendor pricing page, as of 28 October 2026).
The pricing model: Business package at €2.75 per active user per month with annual payment (€3.50 monthly; CHF 2.75/3.50; GBP 2.50/3.25). Professional and Enterprise are priced individually. A free trial without a credit card is available, followed by a Starter package limited to 15 users. Included in all packages: Microsoft Entra ID, Outlook add-in, calendar synchronisation, Office and Workforce Analytics, QR code check-in. The Professional plan adds, among other things, a public API, automatic check-in, compliance and security management and custom roles. According to the vendor, hosting is in Germany, and ISO 27001 and SOC 2 Type 2 are in place (vendor pricing page, as of 28 October 2026).
deskbird can also suit smaller and mid sized teams looking for native mobile apps and a self configurable approach. Review questions: how does admin training work? Which features require the Professional or Enterprise package?
desk.ly: free start for up to 15 users
desk.ly offers desk and room booking, parking, a Microsoft Teams app in all packages and extended features in the Enterprise and Enterprise Plus plans (vendor pricing page, as of 28 October 2026). A free start with all enterprise features and up to 15 users is possible without payment details, as long as the number of users stays below 15.
Pricing model: Corporate from €1.65, Enterprise from €2.75 per user per month, Enterprise Plus on request. Enterprise Plus includes, among other things, SCIM synchronisation, HRIS integration, calendar synchronisation (Google and Outlook), a RESTful API, heatmap analytics and multi tenancy. According to the vendor, desk.ly Connect enables software based sensing without additional hardware.
Data protection: hosting with AWS in Frankfurt, GDPR, ISO 27001, data processing agreement, anonymisation. desk.ly provides a fact sheet for the works council documenting its “planning instead of control” approach.
The free start allows testing in a small group and building up the configuration in parallel before a larger project is launched. desk.ly suits organisations that want to start in Teams.
Flexopus: rollout by number of resources with clear packages
Flexopus bills per resource (desk, room, parking space), not per user. Starter from €1.59, Business from €2.99 per resource per month with annual payment, plus a platform fee of €100 per year. With monthly payment: Starter €1.99, Business €3.49, plus a one off €10 setup fee and a €10 platform fee per month. Enterprise from 50 resources on request. A 30 day demo plan is available free of charge without a credit card (vendor pricing page, as of 28 October 2026). No setup fee with annual payment.
Starter already includes a Teams app, Outlook integration for room bookings, a live plan and a REST API. Business adds single sign-on, SAML2, SCIM (Entra ID and Google Groups), statistics and a check-in module. Enterprise offers guided onboarding with admin training and a key account manager. You should ask the vendor directly about rollout duration, for example which documents (floor plans, identity provider) you need to have ready.
Data protection: hosting entirely in Germany with Hetzner, ISO 27001:2022, GDPR, no use of hyperscalers. Anonymisation of bookings and statistics.
Flexopus suits companies that have a clear view of their number of resources and want to start with a pilot location. The clear pricing logic per resource creates price transparency, but differs structurally from user based models.
Pult: workplace modules with a free start and Presence AI
Pult Workplace offers desk, room and parking booking. Starter is free for up to 20 users and 1 location. Growth costs €2.90, Business €3.90 per active user per month, Enterprise on request (vendor pricing page, as of 28 October 2026). Costs are only incurred for activated users.
According to the plan comparison, SAML SSO and SCIM provisioning are available in all plans. Growth includes Slack, Teams and Google integration, real time analytics, room booking with catering and parking booking. Business adds HRIS integration (Personio, Workday, Hibob), automatic check-in with Presence AI and an approval system.
Presence AI is a separate module from €99 per month: according to the vendor, it uses the existing Wi-Fi and IP addresses to record attendance without additional hardware. Seatti also records attendance based on IP addresses; both approaches enable data driven occupancy analysis without sensors as the main instrument.
Data protection according to the vendor: built and hosted in Germany, GDPR, ISO 27001 certified infrastructure, anonymous attendance measurement, no personal IP or location data stored.
Pult suits companies that want to start small with a free plan and scale, as well as teams that want to record attendance automatically.
Rollout comparison: Envoy, Eptura Engage, Seatti, deskbird, desk.ly, Flexopus, Pult
A structured comparison helps narrow the many options down to a shortlist of one or two vendors. The following table looks exclusively at rollout relevant criteria and is based on the sources cited. The sooner the chosen solution is live, the sooner check-in features and occupancy data take effect.
Rollout comparison table

Important to note: prices per user, per active user and per resource are structurally different and not directly comparable. User based models (Seatti, deskbird, desk.ly, Pult) charge by headcount, resource based models (Flexopus, Envoy) by the number of bookable desks, rooms and parking spaces. Depending on the desk sharing ratio, one model or the other can be more economical. You should also check which features are actually included in each package and how access and permission logic differ.
The information on the competitors comes from the vendors' pricing pages, as of 28 October 2026, and may change.
Checklist: the right questions for vendors promising a fast rollout
Promises such as “live within a few days” should be questioned critically. Fast implementation is an important criterion when selecting software, but the details decide whether the rollout actually runs smoothly. The following checklist helps you ask the right questions.
Technology and integration
- How do you synchronise users and groups? Is Microsoft Entra ID synchronised automatically (for example via SCIM or native Entra Sync)? Do I need an additional directory?
- Which features run directly in Microsoft Teams and Outlook? Is there an add-in, an app or both? Can booking take place in a Teams chat or channel?
- Can existing systems (HRIS, access control, Wi-Fi infrastructure) be connected?
Project, implementation and support
- What experience do you have with companies of our size (250 employees or more)? Which typical milestones do you see in the first two weeks?
- Which services are included in the licence price (floor plan creation, admin training, user support, identity provider setup, calendar configuration)?
- Which support options are there? A personal contact? A customer success team?
- Are there public references, case studies or press releases on comparable rollouts?
Data protection, works council and compliance
- Where is data hosted? In the EU, in Germany? Is there an ISO 27001 certification? Is there evidence of GDPR compliance, a data processing agreement and documented technical and organisational measures?
- Who can see which booking data? Are there anonymous bookings, no geolocation and no working time recording?
- Which documents are available for data protection officers and the works council (fact sheets, privacy policies, no surveillance statements)?
Space, costs and data basis
- Which usage data and KPIs does the solution provide? Are only bookings analysed, or presence data as well (for example IP-based)?
- In what form are reports available? Dashboards, exports, BI connection?
- How transparent and flexible is the pricing model when resources, user numbers or modules grow?
Note: a pure booking system is often not enough to make reliable space decisions. Office Intelligence approaches such as the one Seatti offers natively in Microsoft 365 go further here: they combine bookings, IP-based presence and infrastructure data into a realistic picture of usage.
From the existing system to an alternative: planning a switch from Envoy or Eptura Engage
A switch from Envoy or Eptura Engage can be planned if technical, organisational and employment law steps are tackled in a structured way. Typical starting points: running contracts with a remaining term, configurations that have grown over time, parallel operation during the transition. Hybrid workplace management requires intuitive software solutions that become productive quickly without interrupting employees' everyday booking routine.
Technical and contractual preparation
- Check the remaining term and notice periods of the current contract.
- Request a data export from the current vendor: floor plans, resources, booking and visitor data, users and groups.
- Document existing integrations (calendar, access systems, sensors) and clarify whether they remain usable with the new vendor or need to be set up again.
- Software solutions should be GDPR compliant, especially in European markets; check whether the new vendor meets all requirements.
Mapping locations, spaces and permissions
- Document in the old system: locations, floors, zones, resource types, roles, permissions and booking rules.
- Compare this with the structure at the new vendor: which units (locations, entities) are supported? How granular are rule sets? In Seatti, enterprise structures with several locations, entities and rule sets can be managed centrally via the admin panel.
Parallel operation, cutover and communication
- Plan a transition phase in which the new platform runs as a pilot while the old system remains readable.
- Communicate promptly and transparently with employees and the works council: why is the switch happening? From when will the new system be available? What changes in everyday booking?
Objections to a fast switch and how to address them
Objections often come from IT, the works council or management. They should of course be taken seriously and addressed objectively.
“We can't handle another major project”
Modern solutions offer rollout models with clear phases and little internal effort. Seatti, for example, bundles technical configuration, floor plans and training in the licence price and usually completes implementation within two weeks. Nevertheless, a project owner should be appointed internally to make decisions and steer communication.
“The works council will never agree”
Systems with a clear data protection architecture make co-determination easier: EU hosting, ISO 27001, anonymous booking, no live monitoring and no working time recording. Seatti works without geolocation and analyses data in pseudonymised and aggregated form. desk.ly and Flexopus also offer documented data protection measures. A legal review by the legal department and the works council remains essential; this is not legal advice.
“We'd rather wait until Microsoft solves everything itself”
Companies are making decisions about space and operating costs today. The longer you wait, the longer reliable usage data is missing. A specialised vendor that is deeply integrated with Microsoft 365 can deliver value here immediately. At Sartorius, more than 200,000 office days have been planned via Seatti since 2021.
Conclusion and next steps
There are several alternatives to Envoy and Eptura Engage that allow a fast start. For Microsoft 365 companies with 250 employees or more in the DACH region, it pays to take a close look at integration, data basis and data protection. The right platform makes usage data available from day one.
- Sharpen your selection criteria: prioritise rollout time, Entra integration, data protection and the data basis for space decisions.
- Build a shortlist: select two to three vendors (for example Seatti plus one or two others from this comparison) and test them with realistic use cases, such as playing through desk booking in Microsoft Teams in everyday work.
- Create a migration plan: plan the data export from Envoy or Eptura Engage, parallel operation and the cutover date.

Frequently asked questions
Seatti suits Microsoft 365 companies that focus on a solid data basis and a fast rollout (usually less than two weeks). deskbird offers native mobile apps and, according to the vendor, setup within a few days. desk.ly allows a free start for small groups. Flexopus bills per resource and offers a 30 day demo plan. Pult starts free for up to 20 users and adds Presence AI. The choice depends on size, mobile focus, pricing model and integration requirements.
The Seatti rollout is usually completed within two weeks, from kick-off and installation through admin training and configuration to go live with users. deskbird states “a few days” for most organisations. For Envoy, Eptura Engage, desk.ly, Flexopus and Pult, the data we evaluated contains no concrete rollout times. Ask specifically.
Check with your current vendor which export formats are available for reservations, users and floor plans. Plan a clear cutover date and communicate it early. Whether historical bookings can be transferred depends on the export and import options; current bookings should be completed before the cutover or transferred manually.
Early involvement is decisive. Transparent documentation (data processing agreement, technical and organisational measures, data protection levels) and clear commitments on anonymisation and non surveillance make the process easier. Seatti works with EU hosting and ISO 27001, without geolocation and without working time recording, and analyses pseudonymised usage data. A legal review by your legal department remains essential.
Booking data alone shows demand, but not actual occupancy. Solutions with an Office Intelligence component such as Seatti combine bookings, IP-based presence and other infrastructure data to make occupancy, trends and savings potential visible. This turns an operational booking tool into a strategic instrument for space and operating costs. IKB, for example, saved 34% on office costs with Seatti.
