For large enterprises, alternatives to deskbird include desk.ly, Eptura, Flexopus, Pult, Robin, Yoffix and Seatti, depending on requirements. What matters most is multi-tenant capability, single sign-on and provisioning, API, data protection and support.

Why do large enterprises look for an alternative to deskbird?

Large enterprises look for a deskbird alternative when they need to map several companies, countries and complex governance structures in Microsoft 365 and want to check whether their current tool covers these requirements as standard. The trigger is often an expiring lease, a new hybrid policy or the need to manage desk sharing, meeting rooms and parking consistently across the whole organisation.

Overview of deskbird

deskbird offers its Business plan for €2.75 per active user per month billed annually (source: deskbird pricing page, as of 13 October 2026). Microsoft Entra ID, an MS Teams app and a Slack app are included in all plans, while the public API and integration of access control systems are available from Professional. Extended privacy settings and SLAs belong to the Enterprise plan, which according to deskbird is aimed at international companies. Features such as SAML, SCIM, HRIS integrations and multi-tenancy support are available as add-ons. Large enterprises therefore check whether multi-tenant capability, central rules for several companies and works agreements with the works council are covered as standard or require additional add-ons.

Which criteria matter for a workplace management alternative for large enterprises?

Without clear criteria, large enterprises can end up in lengthy proofs of concept that tie up resources without delivering a reliable decision. A workplace booking system for large enterprises is judged less on booking individual desks than on multi-tenant capability, single sign-on and API. It also matters how user groups and roles are taken over from the identity system.

The following table summarises the review points that IT, real estate, facility management and the works council typically apply.

CriterionKey questionWhy it matters
Multi-tenant capabilityCan companies, locations or business units be set up as separate tenants with their own rules?Different companies have their own rule sets and responsibilities. Without multi-tenant capability, governance becomes chaotic across national borders.
Single sign-on and provisioningDoes the solution support Microsoft Entra ID, SCIM and automated group sync?IT security and efficient management of many users across several companies are hardly feasible without central identity management. Role based access helps manage permissions transparently.
API and integrationsIs there an open API, HRIS connections and interfaces to access control?Data should be processed centrally. Integrations can help avoid data silos.
Data protection, hosting and certificationsWhere is data hosted? Is there an ISO 27001 certification? How is attendance detected?GDPR compliant solutions are essential for European companies. An ISO 27001 certification demonstrates structured information security management. The works council and data protection should be involved early, especially for reporting and attendance detection.
Analytics and Office IntelligenceAre bookings and actual attendance considered separately? Are there trends, heatmaps and capacity analyses?Analytics can make unused space visible and underpin space decisions. A pure booking tool only answers operational questions. With booking and analytics, companies can make empty office space visible and avoid it.
Support and SLAsIs there a dedicated contact, guaranteed response times and rollout support?International rollouts and organisational complexity require professional support and reliable service agreements.
Additional costs and add-onsWhich features cost extra, such as single sign-on, HRIS, multi-tenancy or visitor management?Total cost of ownership includes licences and implementation effort. For the business case, add-ons and the effort of introduction count alongside the licence.

In everyday use, the workplace experience also matters: employees should be able to book on mobile and via their calendar, whether in the office or on the move. A good desk booking tool fits into these routines.

These criteria form the basis for assessing the shortlist in a structured way.

‍

Which alternatives to deskbird are there?

When evaluating workplace management software, large enterprises usually put several solutions on the shortlist in parallel to compare features, pricing model and depth of integration. The following five vendors publish features relevant to large enterprises on their pricing pages. For any network based attendance detection, large enterprises should also clarify with IT and data protection which signals are viable for a works agreement.

desk.ly

desk.ly offers three plans: Corporate from €1.65, Enterprise from €2.75 per user per month and Enterprise Plus on request (source: desk.ly pricing page, as of 13 October 2026). Single sign-on (Microsoft and Google) and a Microsoft Teams app are available from Corporate. Custom single sign-on and the allocation of rights and roles are added from Enterprise, while SCIM sync, HRIS integration, RESTful API, multi-tenancy and a dedicated contact are included in Enterprise Plus. Calendar sync is also part of Enterprise Plus. desk.ly suits large enterprises that need clearly tiered rights and role logic and want to start step by step through the plan tiers.

Eptura (formerly Condeco)

On its homepage, Eptura names solutions for the “Intelligent Workplace” with employee experience, space optimisation, visitor and emergency management and integration into Microsoft workflows, as well as solutions for facility management and an IWMS for complex environments, available either on premises or as SaaS with more than 50 integrations (source: vendor homepage, as of 13 October 2026). Eptura suits large enterprises that want to bundle workplace, facility and asset topics in one system and are open to on premises operation. Prices, single sign-on, provisioning, API and multi-tenant capability are not stated on the homepage and should be clarified directly with the vendor.

Flexopus

Flexopus bills per resource. The Starter plan costs €1.59 and the Business plan €2.99 per resource per month, with Enterprise offers from 50 resources and volume discounts on request (source: Flexopus pricing page, as of 13 October 2026). The Microsoft Teams app, REST API and multi-tenant support are available from Starter. Single sign-on, SAML2, SCIM, group management and further admin roles are added from Business. Flexopus suits large enterprises that want to bill and manage desk, room or parking capacity at a fine-grained level per resource.

Pult (PULT AI)

According to the vendor, Pult (PULT AI) uses the existing Wi-Fi to make attendance visible (source: Pult pricing page, as of 13 October 2026). The Business plan starts at €99.00 per month, and the Enterprise plan is available on request. The Business plan includes HRIS integration (e.g. Hibob, Workday) and a customer success manager. The Enterprise plan offers Okta integration, tailored integrations and SLA guarantees. PULT AI suits companies that want attendance to be reflected mainly through network presence and already have clear HRIS processes.

Robin

According to the vendor, Robin is aimed at companies with at least 500 employees, of whom at least a third use the office regularly, and at companies that manage several floors, offices or buildings (source: vendor product page, as of 13 October 2026). According to the vendor, the platform covers booking of desks, rooms, parking spaces and lockers, space management with a map editor, scenario planning and sync with access control systems, workplace analytics with sensor integrations and data exports, and visitor management. Robin suits large enterprises that plan and analyse several buildings together and want to connect sensors or access control. Prices, single sign-on, provisioning, API, multi-tenant capability and hosting are not stated on the page reviewed and should be clarified directly with the vendor.

Seatti

Seatti is a platform for Workspace Management and Office Intelligence, native in MS Teams and Outlook, focused on Microsoft 365 companies with 250 or more employees. Entra Sync and single sign-on are part of the Microsoft 365 integration. Workspace Enterprise includes multi-tenant administration, guest access, API access and custom integrations. Seatti bills annually: Workspace Management is available as Essentials from €1.90 and Pro from €2.90, Office Intelligence as Essentials from €1.00 and Pro from €2.00 per user per month, and Enterprise is priced individually in each case. The price is based on the number of users, and there is usually no implementation fee (View Seatti pricing). Seatti supports IP-based presence via existing network infrastructure, without geolocation and without live monitoring. Seatti is built to make co-determination easier. Seatti suits large enterprises that want to bundle workspace management and Office Intelligence data in one Microsoft 365 centred system.

Yoffix

Yoffix offers a Business plan for €1.50 and a Pro plan for €2.00 per user per month, plus individual Enterprise pricing (source: Yoffix pricing page, as of 13 October 2026). Apps for MS Teams and Slack, SSO, HR information system integration and an anonymous mode are included from Business. Custom roles and rights and a customer success team are added from Pro. According to the vendor, the Enterprise tier includes AI based recommendations for space optimisation, Wi-Fi check-in, multi-tenancy, a private cloud and a dedicated key account manager. Yoffix suits large enterprises for which AI recommendations and multi-tenancy are relevant and that want to use Microsoft Teams workflows.

What makes Seatti a good fit for large enterprise structures?

Anyone running an office makes decisions about space and operating costs every day, usually without reliable usage data. A booking tool on its own only answers the operational question. Seatti combines Workspace Management and Office Intelligence in one system that runs natively in Microsoft 365 and shows how much space a company really needs. The question is not whether an office needs usage data. The question is how much longer space decisions will be made without it.

Features and benefits at a glance

Seatti offers Workspace Enterprise for large enterprises with several locations, companies and complex roles. Multi-tenant administration makes it possible to manage several companies and locations centrally. Roles and permissions can be controlled at a granular level.

Entra Sync synchronises users, groups and access automatically, without duplicate data maintenance. Single sign-on means employees do not have to sign in separately. For IT teams, this can mean less administrative effort for provisioning and clear access control via Microsoft 365.

IP-based presence detects presence automatically via existing network infrastructure, without an additional check-in, without geolocation and without live monitoring. Seatti does not offer working time recording. Anonymous booking is possible and stating a work location is optional. Seatti is built to make co-determination easier. For works agreements, we recommend a legal review. Seatti places great emphasis on data protection and compliance: GDPR compliant, data centres in the EU, ISO 27001 certified, encryption with TLS 1.2 and AES-256, pseudonymised and aggregated usage data.

Office Intelligence combines bookings, IP-based presence and existing infrastructure into a realistic picture of usage. Office Intelligence provides occupancy analytics in three tiers (Essentials, Pro, Enterprise) and offers tools for space efficiency. Occupancy, trends and savings potential become visible, so that real estate and finance teams can make data based decisions on space and operating costs. Room usage analyses can help make office space more efficient. Usage analytics can help align office space and layouts with actual demand.

Plans and efficient implementation

Seatti offers Workspace Management from €1.90 and Office Intelligence from €1.00 per user per month billed annually, and the modules can be combined. There are usually no implementation costs. The rollout typically takes less than two weeks: day 1 kick-off and technical installation, week 1 admin training and office configuration, week 2 user onboarding and go-live.

More than 100 companies are satisfied

Examples from customer projects show how Seatti is used in large enterprise structures. At Otto Group, the group companies manage their locations in Seatti independently while the framework stays central. Bayer rolled out Seatti globally, with central control and decentralised operation. Sartorius (14,000 employees) has recorded more than 200,000 office days with Seatti since 2021. IKB saved 34% of its office costs through desk sharing and occupancy analysis. Jebsen & Jessen (around 500 employees) went live with Seatti overnight after water damage. At Sanofi, core office days shifted to Tuesday and Wednesday after the introduction.

The examples show how different the starting points can be, from a group with many companies to a company that had to act quickly after water damage. Results naturally depend on the individual case, and we are happy to discuss in a personal walkthrough what a project could look like in your group structure.

How does a large enterprise switch from deskbird successfully?

Before a large enterprise introduces a new system, requirements and governance should be documented: booking rules, data requirements and works agreements define the framework. As a next step, the enterprise clarifies data exports from deskbird (bookings, locations, user lists) and existing contract terms.

We recommend starting with a pilot project at one location or in one company to test Microsoft 365 integration, workplace policy and change management under real conditions.

‍

Deciding in three steps

For decision makers in IT, real estate, facility management and management, choosing a workplace management platform comes down to three steps.

  1. Define the criteria: Clearly define governance, data protection, Microsoft 365 integrations, analytics needs and works council requirements. Without documented requirements, any assessment lacks a basis. GDPR compliance is essential for companies with European branches.
  2. Assess the shortlist with key questions: Systematically review three to five vendors, including deskbird and Seatti, using the questions set out in the criteria section. There is no universally “best” solution, only the one that fits your own group structure. Analytics and heatmap features differ by solution and plan and should be part of the assessment.
  3. Start a pilot at one location: Test with real teams and real booking rules. Evaluate occupancy data and employee feedback in a structured way and base the rollout decision on it.

Frequently asked questions

Which deskbird alternative is right for large enterprises?

There is no one-size-fits-all alternative. Large enterprises decide based on multi-tenancy, Microsoft 365 integration, data protection and analytics. Solutions such as desk.ly, Flexopus, Pult (PULT AI), Seatti and Yoffix have different focuses and suit different governance models. Seatti is particularly interesting for Microsoft 365 groups that need Office Intelligence and IP-based presence. Seatti is a SaaS platform for organising hybrid work.

What should large enterprises look for in desk booking software?

The most important criteria are multi-tenant administration, Entra ID integration, open API, data protection, ISO 27001, usage analytics and clear SLAs. The works council and data protection should be involved early, especially for attendance detection and reporting. IP-based presence without geolocation can be one way to make availability and collaboration transparent without recording the location data of individuals. An ISO 27001 certification is a common proof of information security.

How much does an alternative to deskbird cost?

Pricing models differ considerably: per user, per active user, per resource or as a flat monthly fee. As a starting point, deskbird Business costs €2.75 per active user per month billed annually. desk.ly starts from €1.65 per user per month (Corporate), Flexopus Starter at €1.59 per resource per month, PULT AI Business from €99.00 per month and Yoffix Business at €1.50 per user per month. Seatti offers Workspace Management from €1.90 and Office Intelligence from €1.00 per user per month. Because the units differ, the prices are not directly comparable (sources: the respective pricing pages, as of 13 October 2026). Besides licence costs, implementation, add-ons and internal effort should be part of the business case.

How do you switch from deskbird to other software?

The switch starts with a review of current usage, the export of booking and user information and the definition of new booking rules. With Seatti, a rollout is usually possible in less than two weeks (day 1 technical connection, week 1 configuration, week 2 go-live), although the actual duration depends on internal processes. It is advisable to involve the works council early and to have works agreements reviewed by a lawyer.

How do you involve the works council when introducing desk booking software in a large enterprise?

Large enterprises should involve the works council early, ideally when defining the criteria and before the pilot. Clarify together which data arises from attendance detection and reporting. Seatti detects attendance via the office network without geolocation and without live monitoring, offers no working time recording, allows anonymous booking and is built to make co-determination easier. Works agreements should be reviewed by a lawyer.
